Club Sports Association Governance and General Assembly

The Club Sports Association is one organization within Student Association, falling in compliance with Student Association Constitution and Financial Policy. Within the Club Sports Association itself, there is a structure of governance.

Who is part of CSA? Club Sports Association consists of all members of organizations that are recognized by CSA and SA.

How does CSA function? Representatives of each club sport (called "CSA Representatives" or "CSA reps") as well as the CSA Executive Board meet regularly at business meetings called "General Assembly."  Business at CSA General Assembly may include updates of individual clubs, discussions of CSA activities, or requests of organizations to become CSA recognized.

What are CSA Representatives responsible for? CSA representatives are responsible for attending all CSA General Assembly meetings and for representing the concerns of their club at each meeting. CSA Representatives may also present readings, requests, or updates on behalf of their club at CSA General Assembly. (Note: All club sports must also send an SA Representative to SA General Assembly.)

What is the CSA Executive Board responsible for? Serving as the Club Sports Association Executive Board are four members whom are elected by the CSA General Assembly each year. Each Executive Board member must be part of a CSA-recognized club sport.

The CSA Executive Board is responsible for a variety of operations. Depending on their position, these may include: Chairing General Assembly, assembling the agenda for CSA General Assembly, maintaining meeting records of business meetings, planning events and programming for CSA, collaborating with club sports, and maintaining the social medias of CSA.

I am interested in achieving CSA/SA recognition and funding!

Yay! Thank you for your interest in becoming part of CSA/SA!

In order to achieve SA recognition and funding, a club sport must first achieve recognition by the Club Sports Association General Assembly and the Student Association.  After successful achievement of Student Association recognition, an organization may request a starter budget one (1) year following this approval of the Student Association.

This process consists of six basic steps.  Club sports interested in SA recognition and funding are strongly encouraged to make an appointment by email with the Student Association Vice President (savp@geneseo.edu) or visit their office hours to go over this process.

Step One: Verify Your Club's Eligibility for CSA Recognition

To check your club's eligibility for CSA recognition, please read Article X: Becoming a CSA-Recognized Organization, Points A-E of the Club Sports Association Bylaws

If you have any questions about these requirements, please contact the Student Association Vice President, savp@geneseo.edu

Step Two: Gather and Submit Documents to Club Sports Association

To begin this process, an organization should submit all of required documents to the CSA Chair, the Student Association Vice President (savp@geneseo.edu), and Assistant Director of Programs and Services Chuck Hazlett (chazlett@geneseo.edu) at least one (1) week in advance of the CSA General Assembly you wish to begin your first reading. Here are the required documents:

  • Proof of college-registered status (i.e., recognition through the Department of Student Life)
  • A full roster of the team and number of members
  • Dates of all practices and games/competitions
  • Proof of practice with or games/competitions against other collegiate teams
  • A copy of the organization's current Constitution
  • A Year-End report for the previous year which includes a summary of activities and accomplishments, along with recommendations for the rest of the academic year.
    • Equipment records must be included in this report.
  • A rationale (1-2 pages) detailing what your organization is and why your organization wishes to seek CSA and SA recognition and funding

We may request that these documents be edited or re-formatted before your request is added to our General Assembly agenda.

Step Three: Present Readings and Achieve Recognition of the CSA General Assembly

To achieve CSA recognition, members of an organization will present their rationale, as well as any relevant documents (Constitution and practice and game schedules), to the CSA General Assembly. CSA General Assembly are business meetings of voting representatives from each SA-recognized club sport. Meeting times vary by semester.

The requesting organization will present their rationale initially as a first reading. After the first reading of the rationale and a discussion period of the Assembly, CSA representatives will vote to approve, deny, or abstain. Provided that a first reading passes, the requesting organization will return for a second reading the following meeting. The second reading is an opportunity for the requesting organization to reiterate, clarify, address concerns, answer any remaining questions. Provided that a second reading passes, the requesting organization will have successfully achieved CSA recognition, and they are now responsible for obtaining recognition at the Student Association General Assembly.

After achieving recognition of the Club Sports Association General Assembly, organizations are responsible for sending at least one representative to attend every Club Sports Association General Assembly.

Step Four: Gather and Submit Documents to Student Association

In order for their request to be considered by the SA General Assembly, the requesting organization should submit all of required documents to the SA Director of Business Affairs (sadba@geneseo.edu) the Thursday before the SA General Assembly at which they wish to present their request. SA General Assembly meets weekly on Wednesdays at 6:15 PM in the Hunt Room.

The required documents are the same as submitted to CSA, but if there were any adjustments made to any of the documents during the CSA recognition process, the requesting organization should submit those updated documents to the SA Director of Business Affairs.

Step Five: Present Readings and Achieve Recognition of the Student Association

To achieve CSA recognition, members of an organization will present their rationale, as well as any relevant documents (Constitution and practice and game schedules), to the SA General Assembly. SA General Assembly are business meetings of SA Representatives and the SA Executive Committee.

The requesting organization will present their rationale initially as a first reading. After the first reading of the rationale and a discussion period of the Assembly, voting members of the SA Executive Committee will vote to approve, deny, or abstain. Provided that a first reading passes, the requesting organization will return for a second reading the following week. The second reading is an opportunity for the requesting organization to reiterate, clarify, address concerns, answer any remaining questions. Provided that a second reading passes, the requesting organization will have successfully achieved SA recognition!

After achieving recognition of the Club Sports Association General Assembly and SA General Assembly, organizations are responsible for sending at least one representative to attend every Club Sports Association General Assembly AND SA General Assembly.

Step Six: Request Budget After One-year Probationary Period

Club sports that have newly achieved recognition by SA may not receive funding until one calendar year after the final approval of the SA General Assembly (passage of the second reading at SA General Assembly).

In order to request a budget, a requesting organization should:

  1. Consult with the Student Association Vice President (savp@geneseo.edu) and/or the Director of Business Affairs (sadba@geneseo.edu) by scheduling an appointment or visiting their office hours
  2. Present two readings of the requested budget at two SA General Assembly meetings.
  3. Provided successful passage of these readings, an organization would have access to funds of the final approved budget (including any amendments).
